EMAILING ISSUES
Recently, customers have reported problems emailing from their Version 6 program. We are therefore releasing the following information as of 9/20/06.
When we first set up the email feature in the Version 6 program 2 years ago, we tested its capabilities without any problems. Once we saw that the feature worked as we intended, we released the Version 6 with confidence in its capabilities and until recently, have not received any reports from customers that there were any problems that needed our attention in this area.
Unfortunately, thanks to all the spammers out there, both Microsoft Windows and email servers have had to install security patches requiring mail sending programs to "log in" to the mail server before sending mail to protect you from spammers and hackers invading your system. As a result, these security measures have significantly altered the capabilities of the initial email features that previously worked fine in our Version 6 program. As a result, the ability to email direct messages from the program have been hampered beyond our control at this time.
While the capabilities have changed, the Version 6 email feature is not useless. This is how to use it:
1. Make sure your clients have a valid email address set up in the customer info file
2. When you are ready to email your invoices, click on Print Invoices as you would if you were generating a printed bill
3. Choose Generate HTML Invoices Files
4. Check/Adjust your Invoice dates and cut off dates
5. Tag the customers whom you will be billing
6. The program will go through a processing activity and when it stops it will look like nothing has happened, but what actually has happened is html invoices for the cutomers you tagged are now generated and contained in the Invoice folder of your program.
7. Now go in to your regular email program (Outlook, Outlook Express, Yahoo Mail, etc)
8. Create and email individually, to each of the clients you will be billing. Attach their respective invoice that HorseTrak generated and send the email to the client.
Do not try to send more than one at a time. We understand this is not the ideal method for emailing your invoices, but again, when we programmed this feature into the program, it worked fine. The changes installed by your server and Windows are beyond our control immediate control, however, we will continue to work with the issue.
